Site Administrator

The Program / Site Administrator will be responsible for providing support both to the Program Director and Operations Manager(s) in their responsibilities, which includes the following ( including a succession plan)

The Program / Site Administrator will be responsible for providing support both to the Program Director and Operations Manager(s) in their responsibilities, which includes the following ( including a succession plan)

Responsibilities include:

  • Lead by example, motivating and generating enthusiasm among call center employees both direct and indirect
  • Responsible for administrative duties supporting the program and the site – these duties include:
    • Site receptionist duties / supporting Client & vendor visits – set-up of conference room(s), printing of agenda / presentation of other materials, arrange for catering, ensure clean-up of visit area, support request from guests, etc.
    • Support temporary and visitor badge process / ensuring access control is in order as well as other security processes.
    • Monitor badge access to ensure no tailgating into or out of the production area.
    • Maintain program ‘Master Roster’ of employees – maintaining accurate records for equipment and transportation tracking.
    • Support management of employee access badges (assign, activate & deactivate) as needed.
    • Manage the process of assigning headsets and security tokens – as well as process to receive back headsets and security tokens
    • Manage transportation process for employees – updating and communicating transport requirements internally and with the transport vendor
    • Manage all payroll submissions for lost or un-returned headsets, security tokens, ID badges and other equipment that is tracked at the employee level.
    • Working with facilities support to ensure the center is maintained adequately – Center should be clean, uncluttered and secure at all times
    • Other responsibilities and duties to support effectively managing the site and resources assigned to the program.
  • Management of Master Employee List
    • Maintain accurate records of active, new hire and termed employees
    • Accurate records of all equipment provided to employees (tracking S/Ns and sign-off sheets)
    • Ensure follow-up on payroll deductions for any equipment that is lost or not returned
    • Other related tasks as required
  • Site Administration
    • Maintain relationship with  Shared support organizations for al Admin tasks related to the program
    • Assist with program communication / updates / and events.
    • Liaise with Support team for bus passes, and other local tasks required for site functionality
    • Support Program Event Committee:
      • Site Administrator(s) will lead the site even committee – encouraging participation and documenting site events the drive and motivate employees in the center.
      • Site committee will be responsible for documenting and coordinating a monthly events calendar. Events should be focused on building teamwork – having fun as we provide exceptional customer experiences for our Clients. Events should also promote iQor committee events as well as support community ‘give back’ initiatives.
      • Verify and keep log of meeting dates with the following committees
        • Events & celebration:
        • request a meeting minute form every meeting keep open channel of communication for events coming up
        • Check due date for projects: see that projects are on time
        • Promotion of events – communication, pictures, awarding of prizes, encouraging participation and tracking results/outcome of events
        • Otherduties as assigned
        • Management Support
        • Attend meetings with Management and Clients as requested
        • other duties as required
  • Skills
  • Very proficient in MS Tools – Including Excel, Word and Powerpoint
  • Time Management able to complete tasks on time
  • Project Management able to plan and implement projects / initiatives
  • Demonstrated ability to lead, coach, develops effective teams
  • Goal setting (defining and prioritizing specific driving objectives)
  • Creative abilities with Strong communication and presentation skills
  • Strong analytical and problem solving skills
  • Excellent Communication skills – able to motivate others

  • Proficiency in administration of processes – strong follow-up skills.
  • Thorough knowledge of call center operations a plus

Qualifications

  • Degree in Business Management or equivalent experience is accepted
  • Flexibility to work long and irregular hours
  • Travel up to 10%
