Job description:

EXECUTIVE ASSISTANT (ADMIN, HR & FINANCE) REQUIRED

 

PURPOSE

Provides administrative and clerical support to the Directors with main support role being to the Finance & HR/Administration Director.

The right candidate must be:

  • Meticulous with attention to detail.

  • Versatile, consistent, helpful, with good command of English grammar and writing.

  • A good communicator who can foster positive relationships both internally and externally.

  • Results oriented.

  • Proactive with the ability to plan well to ensure all projects are completed in a timely manner.

  • An accountable individual who owns all targets, results and complaints.

  • Honest and display a straight-forward and sincere approach with management, customers, vendors, contractors and staff.

QUALIFICATIONS & EXPERIENCE

  • Strong computer skills with proficient working knowledge of Microsoft Office.

  • Five (5) CXC passes inclusive of Math and English. Only candidates with Grades I or II in Math and English will be shortlisted.

  • Associate or Bachelor’s Degree in Business Administration, Management or HR from a recognized training or educational institution.

  • Knowledge of standard office administrative practices and procedures.

  • A minimum of three (3) years previous experience in administration at the executive level.

 

PRIMARY RESPONSIBILITIES (THE FULL JOB DESCRIPTION WILL BE DISCUSSED WITH CANDIDATES WHO SUCCESSFULLY REACH THE FINAL INTERVIEW STAGE)

  • Manages and screens incoming calls for and visitors to the Finance & Administration Director.

  • Prepares and edits correspondence, communications, presentations and other documents.

  • Organises and coordinates meetings, training sessions and events including recording, transcribing and distributing minutes of meetings.

  • Manages and maintains executive schedules, appointments and meetings.

  • Acquires funds, coordinates schedule and prepares instructions for payments to overseas suppliers.

  • Administrates both the Corporate Medical Insurance Policy & Pension Plan.

  • Assists Finance & Administration Director with Human Resource/Personnel aspects of potential, new, current and former staff.

  • Maintains confidentiality in all aspects of clients, staff and company information.
