Job Title: Banquet and Sales Coordinator

Position Summary

The Banquet and Sales Coordinator is responsible for selling and coordination of all service aspects related to conventions, meetings, group conferences, and banquets booked to ensure achievement of monthly sales target. Promotion of the company’s service lines, the booking of banquets/catering events, dissemination of internal and external communication material, and maintenance of all banquet sales.

Primary Responsibilities

  • Identify and contact prospective clients to promote banquet/catering services offered by the Company.
  • Prepare client function contracts for all events booked using agreed templates, capturing all specified event details including established room minimums and guest guarantees.
  • Package menu proposals and make recommendations to clients on menu selections and room set-up.
  • Maintain a log of all upcoming events and communicate details of these to internal respective personnel.
  • Build and maintain relationships with clients following approved company protocol, in a manner that safeguard’s the Company’s reputation for high standards and quality service.
  • Develop and implement a system for the maintenance of client and event correspondence and related documents.
  • Update, proof and maintain all menu and restaurant guides as changes occur.
  • Assist with the development and dissemination of the Company newsletter, advertisements and other promotional material including writing, desktop publishing and graphics.
  • Perform other duties as may be required from time to time.
  • Be on hand for the set up of events to assist Restaurant Manager with set up and to verify all details.
  • Assist clients in the selection of food and beverage menu using upselling techniques to maximize revenue.
  • Contact client to confirm meeting dates, times, number attending, Follows up regularly to receive updated information and obtain a guaranteed commitment.
  • Process phone inquiries by checking function space availability and finalize all details if the client makes the decision to book.

Knowledge and Skills

  • Ability to communicate effectively in person, in writing, and by telephone, in a prompt, courteous and service-oriented manner.
  • Strong negotiating skills.
  • Strong administrative skills, good typing and proof-reading skills.
  • Ability to multitask across a range of activities.
  • Ability to build relationships and communicate effectively with clients, suppliers and with persons at all levels in the organization.
  • Excellent organizational skills.
  • Knowledge of established, recognized banquet and marketing practices, policies, procedures and strategies.

Qualifications

  • Associate or Bachelor’s Degree in a relevant field
  • Proficient in Microsoft Office: Word, Excel, Power Point, Outlook, Publisher
  • At least five (5) CXC Passes including Math and English Language
  • Work experience in the Food and Beverage industry will be an asset.
