JOB DESCRIPTION

 POSITION:                           ADMINISTRATIVE ASSISTANT

DEPARTMENT:                    FRESH ORGANICS- WILL BE BASED AT HADCO IN SAN JUAN

WORKING HOURS:             MONDAY TO FRIDAY: - 8:00 A.M. - 5:00 P.M.

                                

JOB SUMMARY

The Administrative Assistant is responsible for the preparation of costings, purchase orders and sourcing new items on the market.

 

REPORTING RELATIONSHIPS

This position reports to the General Manager directly. There are no persons under supervision.

 

DUTIES & ESSENTIAL JOB FUNCTIONS

  • Preparation of Invoices
  • Spoilage recording
  • Preparation of daily timesheets
  • Preparation of orders
  • Filing claims
  • Liaising with the warehouse to coordinate orders for the stores
  • Other Administrative duties as required.

Other duties where the Administrative Assistant will be required to assist in the event that someone is on vacation/sick leave:-

  • Sourcing new items on the market
  • Preparing orders for imported and locally sourced items
  • Following up on all orders- Both Foreign and Local
  • Checking Foreign Pro-Forma invoices for accuracy
  • Liaising with local suppliers when expired items are returned from stores to receive either credit or replacement
  • All foreign and local Credits to be followed up on
  • Preparation of Produce Sheets
 
OTHER FUNCTIONS AND RESPONSIBILITIES

Performs other duties as assigned by Management that may be deemed necessary for the effective functioning of the department

 

MINIMUM QUALIFICATIONS
  • 3 CXC Ordinary Level passes
  • Previous experience in a customer service environment
  • Pleasant disposition and well mannered
  • Team Player
REQUIRED QUALIFICATIONS
  • 5 CXC Ordinary Level Passes
  • 2-3 years’ experience in a customer service environment
  •  Ability to multitask well
  • Experience with Accounting/Data Entry Software
  • Diploma in Business Administration
  • Must be experienced in using Microsoft Office, especially Excel

REQUIRED LICENSES/CERTIFICATIONS

  • Certificate of Character
