JOB DESCRIPTION/ SPECIFICATION


POSITION TITLE: ADMINISTRATIVE COORDINATOR

REPORTS TO: GENERAL MANAGER

 

JOB SUMMARY

The position provides administrative, secretarial and clerical support to JSC, ATTIC and TTII. It requires interfacing with their members including the Board of Directors, Sub-Committees and Council, as well as external stakeholders.

QUALIFICATIONS AND SKILLS

  • Undergraduate degree from Humanities & Education or Social Sciences and/or at least 3 years’ experience in an Administrative Position
  • Knowledge of Microsoft Office Suite
  • Effective minute taking skills
  • Analytical and problem solving skills
  • Ability to organize and prioritize tasks
  • Ability to multitask
  • Be able to work in a fast paced environment and with tight deadlines
  • Possess good communication and written skills
  • Customer Service Oriented

  • Accompany the General Manager and ATTIC Relationship Officer to meetings to prepare meeting minutes/notes and reports
  • Assist with the follow up on matters arising out of these meetings.
  • Assist with the preparation of events, reports and publications as required.
  • Assistance with education courses, workshops, research and other projects as required.
  • Direct the Office Assistant in respect of the following duties in as far as they relate to specific meetings
  • Confirmation of attendees
  • Preparation of monthly/quarterly/annual meeting calendar
  • Setting up of meeting rooms
  • Making parking arrangements
  • Organization of Refreshments

 

DUTIES AND RESPONSIBILITIES

  • Assist with the planning and coordinating of meetings for the Board of Directors and Sub- Committees of ATTIC, TTII and JSC. This involves:
    • The preparation and dissemination of Meeting Notices
  • Preparation of monthly/quarterly/annual meeting calendar
  • Forwarding approved meeting documents to the Board of Directors and sub-committees 
  • Preparation of Meeting Registers
  • Management of the respective Committee files.
  • Any other duties that may be assigned from time to time by the General Manager.
