Job Description
The Records Management Officer will assist with the development, implementation and maintenance of a records management system for use by Company personnel in accordance with Palo Seco Agricultural Enterprises Limiteds strategic intent. The Officer will also provide administrative support for preparing and updating departmental and project work schedules, action trackers and progress reports.
Key and Critical Responsibilities
Designs, evaluates, reviews, recommends, creates, updates and maintains records management related systems
Develops methodology and procedures for created records management systems
Prepares reports and other necessary documents with respect to the movement of company records and documents.
Coordinates the file conversion process
Audits records for internal records management compliance
Provides customer service including requests for information
Digitizes physical records by scanning, indexing and uploading files to the approved electronic records management system, ensuring accuracy, proper classification and ease of retrieval.
Collects and collates information from relevant departments to assist with preparing and updating work plans and activity schedules.
Maintains approved work schedules, action trackers and related records under the guidance of the relevant supervisor or manager.
Obtains and records activity updates from responsible personnel and follows up on outstanding actions and due dates.
Compiles routine status reports identifying upcoming due dates and incomplete activities for the attention of the relevant supervisor or manager.
Supports the administrative coordination of scheduled activities by confirming that the relevant documents and approvals are available.
Attends planning and progress meetings as required, records agreed actions and due dates, updates the relevant schedules and trackers, and files the related supporting documents.
Ensures compliance with Occupational Safety and Health Regulations.
Any other duties for the effective execution of this job function.
Key Competencies
Qualifications and Experience:
A Bachelors Degree in Information Management, Computing and Information Systems, Business Administration or a related discipline.
Three (3) years working experience in a records, information or data management environment, with exposure to work scheduling, action tracking or report preparation.
A suitable combination of qualifications and experience.
Knowledge:
Knowledge of Microsoft Office.
Knowledge and experience in the creation and maintenance of databases.
Knowledge of Data gathering and analysis.
Knowledge of Management principles and techniques.
Knowledge of the theory and practice of design and management of RM Systems.
Knowledge of the requirements to ensure comprehensive, adequate, reliable, authentic records.
Knowledge of Customer service goals and delivery.
Knowledge of work planning, scheduling and progress reporting.
Knowledge of spreadsheets and action trackers used to update work schedules and prepare reports.
