Job Summary
This position provides administrative support and technical assistance to the Human Resources Department in the delivery of human resource and health and safety services to employees and managers.
Task Description
The primary function of the role is to assist the Human Resource Manager in championing and promoting occupational health, safety, and environmental awareness; and monitor that safety related functions, including risk assessments and training, are being satisfactorily completed.
Key Duties & Responsibilities
To maintain an up-to-date Admin Assistant filing system, all documents must be filed within one week of receipt.
To sort and distribute of all incoming & outgoing mail within the HR Department.Assistance Standard: Incoming mail must be sorted, date stamped, logged and distributed immediately upon receipt.
Outgoing mail must be packaged and prepared for dispatch within one hour of receipt or as directed. Outgoing mail for the Tobago Facility must be logged with and signed for by the Courier.
To assist with preparations for all organizational events.
To assist with recording, preparing, and distributing as directed minutes of meetings of the Human Resource Department or those chaired by the Human Resource Manager.
To print and sort all applications for employment via caribbeanjobs.comAssistance Standard: To print on a daily basis as required all applications received from caribbeanjobs.com and sort by position and forward to the HR Assistant within one day.
To type reports, letters, memoranda and other documents as required.Assistance Standard: All documents must be typed, formatted, and delivered error-free within the time frames requested.
To perform clerical duties including photocopying, spiral binding, receiving, and delivering messages as required by and for the department.
To assist with training and development.
To assist with performance evaluations.
To assist in the planning and execution of staff functions and events.
Maintain all required records and documentation. Maintain logbooks of daily activities, including areas visited and activities performed.
To assist with planning emergency response drills.
To assist with conducting fire drills, and inspect fire suppression systems and portable fire systems to ensure that they are in working order.
Help direct rescue and firefighting operations in the event of a fire or an explosion. Assist with the preparation and review of specifications and orders for the purchase of safety equipment, ensuring that proper features are present and that items conform to health and safety standards.
Assist in the preparation of documents to be used in legal proceedings, testifying in such proceedings when necessary.
Provide consultation to employees, supervisors, organizations or agencies on the application of the company’s safety principles, practices, and techniques in the workplace.

Qualifications
BSc in Management / or Minimum of 5 O levels & 2 advanced level subjects.
Computer Literacy and proficiency in Microsoft Office Suite at the Intermediate Level.
Certificate in Human Resource Management.
Possesses O’Level in English, Mathematics and one (1) Science subject and at least three other subjects.
Possesses an advanced diploma in HSE, NEBOSH qualified and or an Environmental qualification.
Possesses a degree in HSE or higher level education.
